JOB REQUIREMENTS

Education:

  • A university degree or college diploma in Business Administration, Office Management, or a related field is required.

Experience:

  • Minimum 3 to 5 years of experience in administrative management, office operations, or related roles.

  • Experience in the construction, trades, or project-based service industries is an asset.

Language:

  • Proficiency in English (spoken and written) is required for clear communication with management, field staff, and external partners.

Skills Preferred:

  • Strong leadership and interpersonal skills with the ability to supervise teams and coordinate across departments.

  • Excellent organizational and time-management abilities to oversee multi-site administrative functions.

  • Competence in handling compliance, reporting, scheduling, and internal communication.

  • Strong decision-making and problem-solving abilities under deadline-driven environments.

Technology & Software Knowledge (Preferred):

  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) 

  • Cloud storage & collaboration tools (e.g. Google Drive, SharePoint, OneDrive) 

  • Project management tools (e.g. MS Project) 

  • Safety compliance software (e.g. SiteDocs, WorkSafeBC Portal) 

 

JOB DUTIES

  • Oversee the day-to-day administrative operations of the head office and provide coordination support for field crews and project teams.

  • Develop and implement standardized procedures to streamline communication between job sites, supervisors, and office staff.

  • Maintain systems to track job progress, project documentation, schedules, and material flow across 80+ active painting projects.

  • Liaise with project managers to coordinate crew allocations, timesheets, subcontractor records, and procurement of materials and supplies.

  • Ensure company-wide compliance with WorkSafeBC, employment standards, insurance, and municipal permit requirements.

  • Manage administrative records, including safety certifications, licenses, audit reports, and internal policies.

  • Oversee and track budgets for equipment, supplies, and project-related expenses; review vendor invoices and purchase orders.

  • Supervise administrative staff handling payroll, records, supply coordination, and scheduling; support hiring and training of new team members.

  • Prepare operational reports and briefs for management on project status, budget use, and compliance.

  • Identify inefficiencies in workflow and propose improvements to enhance internal systems and communication.

WORKING SETTING

  • Full-time office-based position (Monday to Friday).
